Create QR Code and Barcode Labels

Easily create stunning QR Code and Barcode labels for all your Sortly items with just a few clicks. Whether you need them in different sizes or with specific attributes, Sortly has you covered.

Our labels can be printed effortlessly on commonly available self-adhesive (Avery) labels using standard printers. Plus, with Sortly, you can print individual QR Code and Barcode labels with single-label printers or thermal printers.

Below, we'll guide you through the steps to create your custom labels within Sortly and offer valuable tips to optimize your printer settings. Let's get started!

 

Create Labels on the Web

Select an item and then tap on the Create Label button:

  1. Once you click on Create Label, you will be taken to the steps where you pick the paper, size, and attributes included on your label.
  2. Select paper size. Note: Sortly will recommend the correct Avery label sheets based on your selections for paper size and label size. You can purchase the blank (pre-cut) label sticker sheet through Amazon by clicking on the link (if needed).
  3. Select label size
  4. Select any item details you want to include You are able to include notes, price, tags, and total value, or a custom field you've created. At this time, you can only select one of these attributes to print on the QR label.
  5. If your label type and size support it, you will have the option to add a photo to your QR label.
  6. If your label type and size support it, you will have the option to include your company logo or an icon on your label
  7. You can add custom notes to the label you are printing which exists independently of the item details already on the item
  8. Once you've selected your attributes to include, please click Next
  9. Then, select your Printing Options

Label quantity: Print multiples of the same labels

Label start position: If you have a partially used sheet of labels, select where you'd like printing to begin to reduce label waste.

Printing Instructions: Check whether you'd like to have a sheet with label instructions generated within the PDF.

Send copy to email: We recommend having a copy of the PDF you generate sent to your email for future printing needs.

 

Lastly, click Create Label and a PDF of your labels will be created and downloaded so that you can print the QR labels on your standard printer based on the attributes you've selected.

 

 

Create Labels on the Mobile App

  1. Select an item or multiple items to begin the process. In this example, we will show how to print a label for just one item. 
    • To Select an Item, click on the three dots to the right of the item
    • To Select Multiple Items, long press one item and then select more items by clicking on them.
  2. Once clicked, you will see a screen with options and you should choose Create Labels
  3. On the next screen, you'll be able to select and choose the following:
    • QR Label type or Barcode Label type (Ultra, Premium, and Enterprise Plans only)
    • Paper Size.    
    • Label Size. 
  4. Click Next and you will be able to include Additional Item Details and/or a Logo or Icon as long as the label size supports it. You are able to include notes, price, tags, and total value, or a custom field you've created. At this time, you can only select one of these attributes to print on the QR label.
  5. Then, select your Printing Options
    • Label quantity: Print multiples of the same labels
    • Label start position: If you have a partially used sheet of labels, select where you'd like printing to begin to reduce label waste.
    • Printing Instructions: Check whether you'd like to have a sheet with label instructions generated within the PDF.
    • Send copy to email: We recommend having a copy of the PDF you generate sent to your email for future printing needs.
  6. Click Generate. You will be given the option to Open PDF or Check your email for the PDF.

 

Single Label/Thermal Printers

To print a single/thermal QR or Barcode label, you will follow the same steps to create a label, but will choose the Paper Size as Label Printer.

QR Label

  1. Then select the label size
  2. Follow steps 4-9 in this section: Create Labels on the Web

Barcode Label

  1. Then select the label size. Please note that for Barcode labels, there is only one size available (3/4 in x 2 in)
  2. Follow steps 4-9 in this section: Create Labels on the Web.

Selecting Custom Options

What can be included on a QR single/thermal label depending on the size:

  • Item Details
  • Company Logo or Icon
  • Photo
  • Custom Notes 

Barcode single/thermal labels will only contain the Item Details, Sortly ID (SID), and the Barcode.

Configuring Your Printer

Sortly has tested the following Single Label/Thermal Printers:

DYMO 550, Zebra ZD420d, Brother QL-1100, ROLLO Label Printer

 

  1. Select your printer type from the Printer drop-down: mceclip1.png
       
  2. Go to Page Setupmceclip2.png
  3. Select the appropriate printer and paper size
    • Paper size selected should be the size you chose for QR Codes and 2" x 3/4" for Barcodes mceclip0.png
  4. Click OK and then press Print 

 

Create QR and Barcode Labels in Bulk

Sortly allows you to easily generate and print multiple QR and barcode labels for Items at once, which can save you time and help you stay organized.

You can print multiple labels for Items from a folder or several folders using Advanced Search.

Printing Item Labels from a Folder (Web)

  1. Navigate to the Folder and choose the items you want to create the labels. Click the checkmark on each item, or choose All from the Bulk Edit Bar:
  2. Once you've selected the items, click Create Label from the Bulk Edit bar:
  3. Then, continue through the prompts to choose the type of label, paper type, and label size:
  4. This will generate a PDF for your labels, and you can send that PDF to the printer of your choice.

Printing Item Labels from a Folder (Mobile) UPDATE

  1. Navigate to the folder and long press the items you want to print
  2. Once selected, click the three dots in the upper right and choose Create Labels
  3. Choose your label size, label details, and print details
  4. Click Generate, and then open the PDF on your device or from your email to send to a printer.

 

Printing Item Labels from Several Folders (Web)

  1. Navigate to Advanced Search, apply any filters, and choose the items you want to create the labels. Click the checkmark on each item, or choose All from the Bulk Edit Bar:
  2. Once you've selected the items, click the three dots on the far right of the Bulk Edit Bar, and choose Create Label:
  3. Then, continue through the prompts to choose the type of label, paper type, and label size:
  4. Print directly to your printer.

 

Reprinting Existing Labels

When reprinting existing labels, the QR or Barcode itself will not change, but you can adjust the label's size and information and even add custom notes to the label. 

To reprint a label, follow the same steps you would to create the label.

FAQ

What type of labels can I print with my plan?

Users on the Advanced plan can create QR labels. Ultra, Premium, and Enterprise users can create both QR and Barcode labels.

 

What do the label quantity options mean?

  • 1 per Item
    This option generates one label for each item selected for label generation. For example, if you select three different items, three labels will be printed—one for each item.
  • Custom
    This option allows you to specify the total number of labels you want to print. If the total quantity exceeds the maximum allowed limit, an error message will be displayed.
  • As per item quantity
    This option prints labels based on the quantity of each item selected for label generation. (This option is only available for items that use the default unit of measure (Unit).)
    For example:
    • Item 1: Quantity 2 → 2 labels printed
    • Item 2: Quantity 4 → 4 labels printed
    • Item 3: Quantity 1 → 1 label printed

 

How do I get waterproof or durable labels?

If you require specialized material labels or asset tags, we recommend you order them with our partners at Camcode. After creating your labels, you can connect those labels to Sortly by following these steps.

 

Can I use different label sizes on my single-label printer?

Can I print to a Bluetooth or wireless printer?

Only printers that support AirPrint will work on mobile for iOS devices. For other devices, as long as the printer can be found on your mobile device, you should be able to send the PDF that is generated to your printer. 

 

Can I print labels for Folders in bulk?

Unfortunately, at this time, only labels for Items can be printed/created in Bulk. If you'd like to check the status of this Feature Request, please click here

 

Is there a limit to the number of labels I can print at one time?

The limit for the number of labels you can print at once is determined by the size of the label. Because of this, you may need to print your labels in batches.

  1. For Extra Large labels, the max is 50.
  2. For Large labels, the max is 150.
  3. For Medium labels, the max is 250.
  4. For Small labels, the max is 350.
  5. For Extra Small labels, the max is 750.
  6. For Micro labels, the max is 1500.
