Manual Self-Serve Backup

While Sortly has redundancies and recovery policies in place, you also have the option to manually backup your data by exporting it on a regular basis, or if you're on our Premium or Enterprise plans, you can set up Report Subscriptions to have exports sent directly to your inbox. You can export your inventory from Sortly in a few different ways, depending on what you need or want:

1. CSV or Excel (Inventory Summary)
Best for structured data and full exports

  • Go to Reports > Inventory Summary
  • Click Export and choose CSV or Excel
    Includes: item details, folders, locations, and public image URLs (not image files)

2. PDF Report (with Photos)
Best for visual reports or printouts

  • Go to the folder or use Advanced Search to filter items
  • Click the three dots > Export > PDF
  • Choose your layout (Album, List, or Compact)
    Includes: item photos, key details, optional tags and notes

3. Dropbox Export (CSV + image files)
Best for backing up data and getting actual image files

  • Select your items > Export > Dropbox
  • Connect Dropbox and choose to include data, images, or both
    Includes: CSV file like Inventory Summary + image files
