How Inventory Snapshot Works

With Inventory Snapshot, you can:

  • Subscribe once and automatically receive a monthly snapshot, no manual export needed.
  • Access up to 1 year of historical snapshots directly in Sortly.
  • Stay audit and tax-ready with consistent, timestamped records.

Accessible to Owners, Admins, Team Members, and Custom Roles.

⚠️ When you subscribe to a report, you'll be asked to choose a Schedule Type. Pick Snapshot, not Custom Schedule. Snapshot is the only option that saves your report in Sortly for 1 year. Custom Schedule delivers a report by email on a flexible cadence, but doesn't save it to the Snapshots panel.

Subscribe to a Snapshot

  1. 1Go to Inventory Summary

Open the Inventory Summary report in Sortly.

  2. 2Click Subscribe

This appears at the top of the report.

  3. 3Choose Current View

    Then name your report.

  4. 4Select Snapshot as the Schedule Type

Snapshot reports run monthly and are saved in Sortly for 1 year.

  5. 5Click Save & Subscribe

✅ Once subscribed, your snapshot is delivered automatically each month as a CSV, after 8:00 PM (your company's time zone) on the last day of the month, both by email and in the Snapshots panel.

Create a Custom Snapshot

You can also create a custom Inventory Snapshot to focus on specific folders or items instead of your full inventory.

  1. 1Go to Inventory Summary

  2. 2Choose your filters

For example, select a specific folder to filter down to.

  3. 3Click Apply

  4. 4Click Subscribe

Choose Current View to subscribe to your filtered results.

  5. 5Enter a report name

    For example, "F1 Monthly Snapshot."

  6. 6Select Snapshot as the Schedule Type

  7. 7Click Save & Subscribe

✅ Your custom Inventory Snapshot will now be delivered automatically each month with only the filtered data you selected, saved in Sortly for 1 year just like a full Monthly Snapshot.

Access Past Snapshots

  1. 1Go to Inventory Summary

  2. 2Click Snapshots

This sits next to the Export button, in the top right of your saved report.

  3. 3Browse available months

You'll see up to 1 year of historical snapshots in the panel on the right, each available to download.

You can also find your snapshots listed in the Reports menu on the left, nested right under Inventory Summary.

Manage Your Snapshot Subscription

  1. 1Open the subscription settings

From your saved snapshot report, click the calendar icon at the top right. Or, in the Reports list on the left, click the three dots next to the report name and choose Subscribed.

  2. 2Choose Unsubscribe

This stops future snapshots from being delivered by email. Your past snapshots (up to 1 year) will still be available in Sortly.

To resubscribe, reopen the subscription settings and click Resubscribe.

💡 If you subscribed to a filtered folder or item view separately from your full Monthly Snapshot, each subscription is managed on its own, unsubscribing from one doesn't affect the other.

Delivery time: Snapshots are sent after 8:00 PM (your company's time zone) on the last day of each month.

Frequently Asked Questions

How do I subscribe to a monthly Inventory Snapshot?
Go to the Inventory Summary report, click Subscribe, and choose Snapshot as your Schedule Type. No filters are required for a full inventory snapshot.
Can I still apply filters and subscribe to a custom snapshot?
Yes. Filter the Inventory Summary report to the folder or items you want, then choose Snapshot as the Schedule Type when you subscribe. Your filtered snapshot saves for 1 year, the same as a full Monthly Snapshot.
What's the difference between Snapshot and Custom Schedule?
Snapshot always runs monthly and saves each report in Sortly for 1 year. Custom Schedule lets you pick a different delivery cadence (like weekly), but only sends the report by email, it isn't saved to the Snapshots panel.
Where can I find my past monthly snapshots?
In the Inventory Summary Report, click the Snapshots button next to Export. You'll see all historical snapshots stored for that report, up to 1 year back.
Why don't I see any past snapshots?
Snapshots only start saving from the month you subscribe forward. If you just subscribed, your first snapshot won't appear until after the next scheduled delivery, at 8:00 PM on the last day of the month.
What happens if I unsubscribe?
You'll stop receiving future emails, but your past snapshots (up to 1 year) will still be available in the app.
What if I accidentally unsubscribe from the email?
Don't worry, you can resubscribe anytime in Sortly. This only affects email delivery, not your saved snapshots or your access to the app.
Can I subscribe to both a Monthly Snapshot and saved reports?
Yes, as long as you're within your 15 reports per type limit.
