Quantity Alerts

With Sortly, you can easily create quantity alerts on individual items or in bulk to notify you or your team when stock reaches a certain threshold (for example: low stock alerts). Alerts can be set up from both the desktop and mobile app, and you can choose who should receive the notification.

All active alerts are visible in the Alerts section of the desktop app, so you’ll always know which alerts have been triggered.

Note: Quantity alerts are available on Advanced, Ultra, Premium, and Enterprise plans. The Free plan does not support alerts.

Setting Quantity Alerts on Desktop

You can set an alert from the item's edit mode or at the folder level. 

1. In the item's "edit" mode, click on the "Bell" icon beside the item quantity field

You can also set the alert at the folder level:

2. Next, Select the conditions and threshold quantity

(Eg: Alert me when quantity is At OR below Min Level or alert me when Min Level is 5)

3. Next, choose who should be alerted

You can set alerts to yourself, all owners, all admins, all members, or select specific people to notify by choosing the "select people manually" option. 

Note: You cannot send alerts to a person who is not a user in your Sortly account.

4. Press confirm to finish.

 

Setting Bulk Alerts for Items on Desktop

With the Sortly desktop app, you can set alerts for groups of items from the items page or from the Advanced search page. The process for both will follow the same steps.

Begin by highlighting your first item. You will see a checkbox at the top left of the item and you will want to check that box.

Once you have selected a group of items, click the 3 dots at the top right of the Bulk Actions bar and select Set Alert

Once you click Set Alert a popup will appear that allows you to select which alert you are setting on the items. Click the field you wish to set the bulk alert for and click Next.

Please note: If you do not have the fields filled in on some of the items, it will not give you the opportunity to set bulk alerts for those. You will need to add information to that item field and then set an alert for it.

Next, you'll be shown a screen that indicates the type of alert you are setting and the number of items it's being set for. You can select the specifics of the alert here and select the individuals who should receive emails when the alert is met. Once this is done, click Confirm.

Note: When choosing the At or Below Min Level option, all min levels for the items selected will be overwritten.

Once the alerts are set, you will return to the page you were last on. You will now see that the items have small bell icons next to them, indicating they have an active alert. You can hover over the bell icon to see the details of the alert and edit if necessary.

Setting Quantity Alerts on Mobile app

  1. To set an alert in the mobile app, tap the three dots to the right of the item and then select Set Alert.

  2. You'll then choose the conditions of the alert and select the users that should receive the alert. You can enter users manually or select all Owners, Admins, Members or a mix.  mceclip13.png

To see if an alert is set, click on the item and then look for a red bell icon

Clicking on the bell icon will allow you to edit the alert or remove it.

Setting Bulk Quantity Alerts on Mobile App

 

In the mobile app, you can do this by holding down the item until you see a little check over the image in the app. Then, click the three dots at the top right.

From there, you will be shown a list of bulk action options. Select Set Alert.

You will then follow the same process as above to set the conditions of the alert and choose the users that should receive the alert.

 

FAQ

Can I get a notification when an item is back in stock?

Yes! You can set up a quantity alert to notify you when an item’s stock reaches a specific level. Alerts can use conditions like “greater than” or “greater than or equal to.”

Example:
You currently have 3 chairs in stock and you’ve ordered 2 more. To be notified once the total reaches 5, set a quantity alert for “greater than or equal to 5.” When the stock updates, you’ll receive a notification that the item is back in stock.
