Sortly’s Pick Lists make it simple to prepare for projects by creating detailed item lists with images, quantities, and more. Pick Lists can be assigned to employees, ensuring they know exactly what to gather and deliver for each project. This feature is available on both the web and mobile apps.
Pick Lists are available to customers on Ultra, Premium, and Enterprise plans. Unfortunately, this feature is not available for Free or Advanced plan users.

What Are Pick Lists For?

Pick List Statuses Explained

Draft: The Pick List is being created and has not yet been finalized. This status indicates that items are still being added or adjusted.

In Progress: The Pick List has been finalized and is ready for the picking process to begin. Items can now be gathered based on the details in the list.

Complete: All items on the Pick List have been successfully picked, and the list is now marked as complete. Inventory updates have been applied accordingly.

Choose Assignee
Click the Dropdown arrow in the Assign To section and choose an assignee

- Assign to Me - The pick list will be assigned to you.
- Assign to Everyone - The pick list will be assigned to your entire team, allowing multiple people to pick the items.
- Select a specific user - The pick list will be assigned to that user.
Choose Item Outcome
Move to Folder
Select this option if you want a certain number of items to move to a specific folder once they are picked up.
For example, if you have an item with a quantity of 10, and you put a quantity of 7 to be picked up in the pick list, then once the items are picked up, a quantity of 7 will move to the folder you specified and a quantity of 3 will remain in the original folder.
Once you select a folder, click on the ‘Choose’ button below to continue.
The Folder path will show once chosen:
Decrease Quantity
Select this option if you want the quantity of items to automatically decrease from your inventory once they are picked.
For example, if you have an item with a quantity of 10 and you put a quantity of 7 to be picked up in the pick list, once the items are picked up, the quantity of that item will update to 3.
The Decrease Quantity option will show once chosen:
Select Items
Search for your items and add them to the Pick List
Address and Notes
Enter the address manually or choose Select Address to populate it. Enter Notes for your team about this pick list.
Export Pick List
Create a Pick List - Web
- Navigate to the Pick Lists section in your account.
- Click New Pick List
- Fill out details about the Pick List and ensure the required fields are complete
- Once all fields are filled out, click Save
- Choose Ready to Pick to begin the process
- Begin picking the items from the list to move it to In Progress
- You can choose to partially pick or fully pick items
- NOTE: If you partially pick and choose Complete Pick, you will get the following confirmation which notes that you will not be able to pick the remaining items. Return to the pick list to complete the pick before clicking this option.
- Once you fully pick all items, click Complete Pick. This will move the status from In Progress to Complete
- Click Export to export to a PDF so the user knows what items to pick
- A PDF will be generated with the items along with relevant information such as Item Name, Location, Quantity, and any QR or Barcodes associated
- Navigating back to the Pick List tab, you'll see any pick lists and their statuses. Click the Filter icon to filter by Status.
Create a Pick List - Mobile
- To begin, navigate to Menu>Pick Lists
- View Current Pick Lists and Create a New Pick List
- Name your Pick List. This can be edited later.
- Now, you can click on Add Items and click Done
- Click the three dots at the top right and then Edit to add Item Outcome, Assignee, Due Date, Address, and Notes (optional)
- Click Ready to Pick to begin the picking process
- When the assignee is ready, they can click on Pick next to each item to complete the pick list
- Finally, click Complete, and the Pick List status will now show as Complete.

Can multiple people work on the same Pick List?
Yes, multiple people can work on the same pick list.
Can I track the status of a Pick List in progress?
Yes! You can keep an eye on the Pick List as it’s being worked on. You’ll see updates via email as items are picked, and you’ll know exactly when the list is completed. This way, you stay informed and can make sure everything is moving along on schedule.
What happens if an item on the Pick List is out of stock?
If an item on the Pick List is out of stock, it can still be added to the list. However, when the picking process begins, you will only be able to pick the quantity that is currently available in inventory.
How can I view the Transaction History for Picked Items?
To see the transaction history of picked items, follow these steps:
- Go to the Reports section in your Sortly account.
- Select the Transactions tab.
- Use the Date Range filter to specify the timeframe you want to review.
- Look at the Transaction Type column to identify and review all "Picked" transactions within the selected date range.
