At Sortly, we recognize the critical role efficiency plays in inventory management. That's why we've developed our Bulk Edit feature, which enables you to easily modify your items and folders.
With this tool, you can efficiently mass-edit details such as names, prices, quantities, tags, notes, and custom fields. Additionally, you have the flexibility to set bulk alerts, move items, and create labels, ensuring comprehensive control over your inventory management process.
**Please note that this functionality is only available on the Desktop version of Sortly.

Bulk Edit Items in One Folder
- Start by hovering over the items that you would like to bulk edit and then click on the top-left checkbox
- Once this has been selected, you will see the bulk edit bar become available.
- In the bulk edit bar, you can select from the following options: Edit, Move, Export, Create Label, Set Alert, Clone, and Delete.
- In this example, we will select the Edit option and update the Min Level with the Add/Update option.
- Enter the new Min Level and click Apply

Bulk Edit Items in Multiple Folders
- Navigate to Advanced Search, choose your items, and click Apply Filters
- Select All Items, and you will see the bulk edit bar. Click the Edit button.
- In this example, we will use the price field with the Add/Replace option
- You will see the option to add the price point to the item, and then you can click Apply.
Bulk Edit Folders
- Start by navigating to All Items (https://app.sortly.com/items)
- Select the folders that you want to Bulk Edit by clicking the checkbox in the upper left-hand corner of the folder
- Select Edit from the Bulk Edit bar. In this example, we are going to update Tags across all folders. You will see that you can Add or Remove Tags in bulk.
- If you'd like, you can also choose to add the tags to Sub-Folders and Items
- Once you've selected your option, click Apply to save the changes and see the updates across all selected Folders in the Tags tab.
Set Bulk Alerts
Setting up bulk alerts will allow you to easily group together items and set the same parameters across them.
Please note: To set a date-based bulk alert, all selected items must have the date-based custom field filled out. You can only include items, not folders, to set bulk set quantity alerts.
Set up Bulk Alerts on Desktop
- Start by hovering over the items that you would like to bulk edit and then click on the top-left checkbox
- Once this has been selected, the bulk edit bar becomes available.
- Click Set Alert and enter the Alert criteria.
Alerts will be triggered when the threshold is met. You will see an alert in the app under the Notifications tab and receive an email for this alert.

Set up Bulk Alerts on Mobile
- Long press one item to select multiple items at once in your mobile app. This will give you the option to select more items:
- Once the items have been selected, click on the three dots at the top right to choose the Bulk Option for Set Alert:
- Once the items have been selected, click on the Set Alert button. (This is indicated by the Bell icon in the screenshot above) You will then see the options available for the bulk alert:
- From here, choose which type of Bulk Alert (Quantity or Date-Based). You will then see the following screen which you will be able to set the alerts:
- Click Set Alert, and the alert will be set across the items that you have selected.
- To view alerts on mobile, you can go to the item or folder and look for a bell icon which indicates that an alert has been set, OR you can go to the bell icon at the bottom of the screen to see all alerts/notifications:

You can select one or more of the following users to send alerts to:
- Self
- Admins
- Owners
- Members
- Select People Manually
Please note: Alerts cannot be sent to people who are not current users of Sortly.
FAQ
Can I update my inventory through a bulk import?
Currently, you can't update existing items through a spreadsheet, but you can update them using Sortly's API (exclusive to Enterprise plans).
