Bulk Edit Items and Folders

At Sortly, we know that managing your inventory efficiently is crucial. That’s why we’ve built the Bulk Edit feature — a powerful tool that lets you quickly and easily update multiple items or folders at once.

With Bulk Edit, you can update key details like names, prices, quantities, tags, notes, and custom fields. You can also set alerts, move items, and create labels — giving you full control over your inventory without repetitive manual updates.

Note: Bulk Edit is available only on the Desktop version of Sortly.

Bulk Edit Options

Items

You can bulk edit the following item fields:

  • Name
  • Minimum Level
  • Price
  • Notes
  • Tags
  • Quantity
  • Custom Fields (related to items)
  • Alerts

Folders

You can bulk edit the following folder fields:

  • Name
  • Notes
  • Tags
  • Custom Fields (related to folders)

Bulk Edit Items in One Folder

  1. Hover over the items you want to edit, then check the box at the top-left corner.
  2. Once selected, the Bulk Edit Bar appears.
  3. Click Edit to begin updating fields (e.g., update “Min Level” using the “Add/Update” option).
  4. Enter the new value and click Apply.

Bulk Edit Items in Multiple Folders

  1. Go to Advanced Search, select your items, and click Apply Filters.
  2. Click Select All Items, then choose Edit from the Bulk Edit Bar.
  3. Choose a field to update — for example, update the Price using “Add/Replace”.
  4. Enter your updates and click Apply.

 

Bulk Edit Folders

  1. Go to All Items.
  2. Select the folders you want to edit by checking the box at the top-left of each folder.
  3. Click Edit in the Bulk Edit Bar.
  4. Choose your updates — for example, Add/Remove Tags across folders. You can optionally apply changes to sub-folders and items as well.
  5. Click Apply to save changes across all selected folders.

 

Set Bulk Alerts

Bulk alerts let you apply the same alert settings to multiple items at once — whether based on quantity thresholds or custom date fields.

⚠️ Bulk alerts can only be applied to items — not folders.
To use date-based alerts, make sure each selected item already has a date-based custom field filled in. Without it, the alert cannot be set.

 

Set up Bulk Alerts on Desktop

  1. Select multiple items by checking their boxes.
  2. Click Set Alert in the Bulk Edit Bar.
  3. Choose your alert criteria and click Set Alert.

Alerts are triggered when thresholds are met. You'll be notified:

  • In-app under the Notifications tab
  • Via email

Set Bulk Alerts on Mobile

  1. Long press an item to activate selection mode, then tap other items to select them.: mceclip7.gif
  2. Tap the three-dot menu (⋮) in the top-right and choose Set Alert.mceclip8.png
  3. Choose the type of alert:
    • Quantity-Based
    • Date-Basedmceclip10.png
  4. Enter your criteria and tap Set Alert.

You’ll see a bell icon on items/folders with active alerts. You can also tap the Notifications bell at the bottom of the app to view all alerts.

Choose who will receive alerts:

  • Self
  • Admins
  • Owners
  • Members
  • Select People Manually

❗ You can only assign alerts to existing Sortly users. External recipients are not supported.


FAQ

Can I update my inventory through a bulk import?

Currently, Sortly does not support updating existing items via bulk import. However, updates can be made using the Sortly API — available on Enterprise plans only.
