Sortly offers several ways to keep you and your team informed about important inventory activity through alerts and notifications. These can be delivered via email, in-app notifications, or through integrations with tools like Slack, Microsoft Teams, or Webhooks.
You can receive alerts related to two main things in Sortly:
Items
- When item quantities fall below a set threshold
- When an expiration date is approaching
- When an item is created, edited, moved, or deleted
Folders
- When a date-based custom field is linked to a folder and the trigger date is approaching

Email Notifications
Email alerts are triggered by:
- Quantity thresholds
- Date-based reminders
You can send these alerts to:
- Yourself
- All Owners, Admins, or Team Members
- Specific users in your Sortly account
⚠️ Alerts can only be sent to users already in your Sortly workspace.
How to Set Up Email Alerts:
- Open the Item's Edit screen.
- Click the bell icon next to the Quantity or Date field.
- Set the conditions and choose your recipients.
🗂️ For Folders, click the three dots next to the folder and then Set Alert (Date-based only)

In-App & Push Notifications
You can stay informed inside Sortly or on your phone:
- On the web: Check the Alerts section on your dashboard.
- On mobile: Enable push notifications in your device settings.
To Enable Push Notifications:
- Open your phone’s Settings > Notifications.
- Find Sortly and toggle Allow Notifications.
Slack Integration
Sortly can send real-time notifications to a public Slack channel when items are created, edited, moved, or deleted.
🔁 You can only link one Slack channel at a time, and it must be public.
🔔 Slack notifications are limited to item events.
How to set it up
- Go to Settings > Integrations > Slack in Sortly.
- Click Connect and authorize Sortly in your Slack workspace.
- Choose a public channel and configure which actions should trigger notifications.
- Add the Sortly app to that Slack channel (via Slack > Channel > Integrations).
Microsoft Teams Integration
Sortly can send real-time notifications to a Microsoft Teams channel when items are created, edited, moved, or deleted.
🔔 Teams notifications are limited to item events.
💼 Available on Ultra, Premium, and Enterprise plans.
How to set it up
- In Sortly, go to Settings > Integrations > Microsoft Teams.
- Click Connect, then sign in to your Microsoft Teams account.
- Authorize Sortly to access your Teams workspace.
- Choose the Teams channel where you'd like to receive alerts.
- Configure which item actions should trigger notifications.
Webhooks (API-based Alerts)
If you use Sortly’s API, you can configure webhooks to trigger external notifications when items are created, updated, moved, or deleted.
🛠️ Webhooks are available on Enterprise plans only and limited to item events.
Frequently Asked Questions
Can I be notified about invoices or purchase orders?
No. Alerts currently only apply to items and folders—not documents like Invoices or POs.
Can I send alerts to people who aren't in my Sortly account?
No. Notifications can only be sent to users who are already part of your Sortly workspace.
Can I customize my alerts (e.g., frequency, formatting, or channels)?
Not at this time. However, we’re always listening—feel free to submit feedback in the app under Product News.
Is there a way to stop receiving email alerts?
While email alerts can't be turned off directly from our system, you can manage them using your email settings. Most email providers allow you to create filters or rules that automatically move these messages to a folder, mark them as read, or archive them.

This way, you can stay focused without losing access to alerts if you need to reference them later.
Can I get push notifications for Pick Lists?
No. Only email notifications are sent for Pick Lists.
